This process ensures all campaign, inventory, and creative details are accurately captured before final submission.
Before You Begin
Before starting your RFP submission, make sure the following items are in place:
Account & Access Requirements
Your AdQuick vendor account is active and verified.
You have the appropriate permissions to submit proposals on behalf of your company.
Your company profile includes up-to-date inventory data, including Face IDs and locations.
*Note: If your inventory is already set up on AdQuick, you can add units to a request straight from the Inventory tab instead of filling in the grid. See How To Add Inventory To An RFP Without A Grid.
File & Format Requirements
Images: JPG or PNG. To use a hosted image instead of uploading a file, enter the URL in the Link to Image column during Unit Details — it must point directly at an image file, not a Google Drive folder.
Attachments: PDF, Doc, PPT, PPTX, XLS or XLSX.
Spec sheets: usually PDF.
File naming: use clear, descriptive names that reference unit or campaign identifiers.
Best Practices
Review RFP notes carefully for any custom requirements (e.g., mandatory spec sheets or image formats).
Keep all supporting materials organized and accessible before beginning.
Use Save and Continue as you go to avoid losing work.

Review campaign details, target markets, dates and advertiser information before submitting any inventory. International requests also require selecting a currency here. | |
Enter the Face ID, flight dates and price for each unit you plan to submit. Packages can be created from the Packages panel on this step or on Unit Details. | |
Complete the full specification for each unit in the grid — location, size, screen type, media type, impressions and costs. | |
Upload at least one image for every unit. Bulk tools let you apply an image to many units at once. | |
Add or replace spec sheets and mark them verified. Optional for RFPs. | |
Add any supplemental files, then complete your submission. |
Reminder
Steps unlock in order — you can't skip ahead to a later step.
Validation runs when you save, not as you type. Anything that needs attention appears in a panel on the right of the page, separating errors (which block you) from warnings (which don't).
Save your progress using the Save and Continue button in the top-right corner.
If you have nothing suitable to propose, you can decline from Step 1 using No inventory to submit.
After final submission, RFP details cannot be edited. If you need changes, contact your Account Manager.
