RFP Submission Workflow Overview

Written by Zachary Cuva

The RFP Submission Workflow in AdQuick guides vendors through each stage of submitting inventory for buyer review.

This process ensures all campaign, inventory, and creative details are accurately captured before final submission.

Before You Begin

Before starting your RFP submission, make sure the following items are in place:

Account & Access Requirements

  • Your AdQuick Seller account is active and verified.

  • You have the appropriate permissions to submit proposals on behalf of your company.

  • Your company profile includes up-to-date inventory data, including Face IDs and locations.

File & Format Requirements

  • Accepted image formats: JPG, PNG, or hosted image URLs (Google Drive folders are not supported).

  • Accepted document formats: PDF, XLSX, DOCX for attachments and spec sheets.

  • File naming conventions: Use clear, descriptive names that reference unit or campaign identifiers.

Best Practices

  • Review RFP notes carefully for any custom requirements (e.g., mandatory spec sheets or image formats).

  • Keep all supporting materials (images, spec sheets, and attachments) organized and accessible before beginning.

  • Use Save & Continue frequently to prevent data loss as you progress through each step.

Overview of Steps

Step

Description

Step 1: Review RFP

Review all campaign details, target markets, and advertiser information provided by the buyer before submitting any inventory.

Step 2: Add Inventory

Enter initial information for each unit you plan to submit, including pricing, dates, and unique identifiers. Packages can also be created here.

Step 3: Unit Details

Complete detailed information for each unit, including media type, location, size, and attributes. Validate data for accuracy before proceeding.

Step 4: Upload Images

Upload required images for each unit. Use bulk upload tools to attach images to multiple units at once, or add supplemental attachments as needed.

Step 5: Upload Spec Sheet

Add or replace spec sheets for units, verify information, and finalize your RFP submission. Optional step before confirming submission.

Reminder

  • Steps must be completed in order.

  • Required fields will be highlighted in red if left blank or invalid.

  • Save progress using the Save & Continue button in the top-right corner.

  • After final submission, RFP details cannot be edited.
