A Hold Request is the follow-up to an RFP. Once a buyer has reviewed your proposal and selected units, they send a hold request asking you to confirm those units are still available and to lock them in.
Most steps work exactly as they do in the RFP flow. This article covers the whole sequence and calls out what is different.
The Hold Workflow

3. Unit Details | Review and update unit specifications. |
4. Upload Images | Confirm or add unit images. |
5. Upload Specs | Upload and verify spec sheets. Required on holds. |
6. Assign Shipping Addresses | Where production material should ship, if enabled for your account. |
7. Upload Attachments | Add supplemental files and complete the submission. |
Step 1 — Review RFP
The request details are the same as on the original RFP, with one addition: Hold Until shows the date the buyer needs the hold to run to.
Review the details, then click Save and Continue.

Step 2 — Add Inventory
The grid is pre-populated with the units the buyer selected from your proposal. Four columns appear here that RFPs do not have:

Replacement For | Read-only. Shows which unit a replacement stands in for. |
Start and end dates can be adjusted if needed.
Validation runs when you save. Anything that needs attention appears in a panel on the right-hand side of the page, separating errors (which block you) from warnings (which do not).
Finding Replacements
If you mark any unit Unavailable, offer a replacement so the buyer does not lose the placement.
Click Add Replacements in the top bar.
Every unit you marked unavailable is listed on the Find replacement units page.
For each one, either:
View AQ Suggestions — AdQuick proposes comparable units from your inventory, and you select the ones you want to offer, or
Search By Face ID — find a specific unit yourself.
Chosen replacements appear beneath the unavailable unit. Use Remove to undo one.
Click Save and Continue to return to the flow.
*Note: If any unavailable unit still has no replacement, you will be asked to confirm before continuing — "Your unavailable units have no replacements. Continue?" You can proceed, but the buyer loses that placement.
**Note: Back to inventory list returns you to the grid without leaving the step.
Step 3 — Unit Details
Identical to the RFP flow. See RFP Submission Step 3: Unit Details for the required columns and validation rules.
Step 4 — Upload Images
Images from your RFP submission carry over. To change one, click Edit on the unit's card. Every unit needs at least one image.
Step 5 — Upload Specs
This is the main difference from the RFP flow: spec sheets are required on holds, and each must be marked verified.
Use Upload or Replace on each unit's card.
Tick verified to confirm the sheet is accurate and current, or use Verify specs in the actions bar to do several at once.
You cannot continue until every unit has a verified spec sheet. If any are outstanding you will see "All spec sheets must be verified before continuing."
When you click Save and Continue, a confirmation appears:
"By clicking OK you verify that all information including price, rate card, production, installation, and impressions are accurate. You will not be able to edit these details after submission."
Step 6 — Assign Shipping Addresses
If enabled for your account, this step asks where production material should be shipped for each unit.
Click Assign Shipping Address on a unit, or select several and use Assign Shipping Address in the actions bar.
Pick an address from your address book, or Add Address to create one. Saved addresses can be edited or deleted.
Click Assign.
For units where you handle production yourself, select them and choose Forced Production instead. Those units show a Forced Production badge and no address is needed.
To change an assignment, click the address to edit it, or the × to clear it.
Step 7 — Upload Attachments
Add any supplemental files, then click Save and Continue. Because this is the last step, it completes your hold submission.
After You Submit
You are returned to the Review RFP page, where the button reads Task completed and the steps are locked. The request moves to Completed requests.
Hold details cannot be edited after submission. If you need changes — a unit fell through, dates shifted — contact your Account Manager.
